Privacy Policy
This Privacy Policy explains how VCPility ("VCPility", "we", "us" or "our") collects, uses, shares and protects information about you when you visit our website, create an account, or use our AI-powered CRM, website, booking, marketing and automation platform (together, the "Services"). By using the Services, you agree to the practices described here.
01 Introduction
VCPility provides tools that help local and small businesses become more visible, credible and prosperous. Delivering those Services means handling information about our customers and, in some cases, about the people our customers market to. We take that responsibility seriously and only collect what we need to run the Services well.
This policy applies to our marketing website and to the VCPility application. It does not apply to third-party websites or services that we link to but do not control.
02 Information we collect
Information you give us
- Account & contact details — name, business name, email address, phone number and password when you register or book a consultation.
- Billing information — the details needed to process payments and manage your subscription. Card data is handled by our payment processors, not stored by us.
- Content you provide — messages, form submissions, files, customer lists and campaign material you upload to the platform.
Information we collect automatically
- Usage data — pages viewed, features used, actions taken and the dates and times of your visits.
- Device & log data — IP address, browser type, operating system, referring URLs and similar diagnostic information.
- Cookies & similar technologies — as described in the Cookies & tracking section below.
Information from third parties
When you connect a third-party tool (for example an advertising, review, calendar or messaging account), we receive information from that service as needed to provide the integration you requested. We may also receive analytics and lead information from advertising and marketing platforms.
03 How we use your information
We use the information we collect to:
- Provide, operate, maintain and improve the Services;
- Set up and manage your account and process your payments;
- Run the marketing, follow-up, booking and automation features you enable;
- Respond to your enquiries and provide customer support;
- Send you service, security and administrative messages;
- Send you marketing communications where permitted (you can opt out at any time);
- Monitor usage, prevent fraud and abuse, and keep the Services secure;
- Comply with our legal obligations and enforce our agreements.
04 Legal bases for processing
Where data protection law such as the GDPR applies, we rely on the following legal bases: performance of a contract (to deliver the Services you sign up for), legitimate interests (to secure, support and improve the Services), consent (for certain marketing and cookies, which you can withdraw at any time) and legal obligation (to meet accounting, tax and other regulatory duties).
07 Data retention
We keep personal information for as long as your account is active or as needed to provide the Services, and afterwards only as long as necessary to comply with our legal obligations, resolve disputes and enforce our agreements. When information is no longer needed, we delete or anonymise it.
08 How we protect your data
We use technical and organisational measures — including encryption in transit, access controls and regular review of our practices — to protect information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work continuously to safeguard your data.
09 Your rights & choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you;
- Correct information that is inaccurate or incomplete;
- Delete your personal information;
- Object to or restrict certain processing;
- Request a copy of your information in a portable format;
- Withdraw consent where processing is based on consent;
- Opt out of marketing messages using the unsubscribe link or by contacting us.
To exercise any of these rights, contact us using the details below. We will respond within the time required by applicable law. You also have the right to complain to your local data protection authority.
10 International transfers
We operate internationally, so your information may be processed in countries other than your own, including countries whose data protection laws differ from those where you live. Where we transfer personal information across borders, we take steps to ensure it remains protected in line with this policy and applicable law.
11 Children's privacy
The Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to remove it.
12 Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where changes are significant, provide a more prominent notice. Your continued use of the Services after an update means you accept the revised policy.
